How Airtable Linked Records Replace Duplicate Data Entry Forever

If you're typing the same information into Airtable more than once, something is broken. The good news is there's one field type that fixes this problem completely. It's called a linked record, and it separates Airtable from every single spreadsheet you've ever used before. In the next few minutes, you'll see exactly what a linked record is, how to build your first one, and the one scenario where a linked record is simply not enough.

The Mental Model That Changes Everything

In Airtable, a table is a list of one type of thing. You might have a list of all your customers, a list of all your jobs, or a list of all your crew members. The moment information from one list shows up in another list, you don't simply copy it over—you link it. Here's the sentence that will fix more broken bases than any feature: if you're typing it twice, you're missing a link.

Why Spreadsheet Thinking Breaks Your Database

Most people start with one big table that holds all the information. You might have a jobs table where you're typing everything in, including customer names and phone numbers. This looks fine until a customer like Sarah changes her phone number, and suddenly you have to change it in three different places. Even worse, when you see duplicate names like Marcus Delgado appearing twice, a spreadsheet cannot tell you if this is the same person or two different customers—because to a spreadsheet, these are just words in boxes.

Converting Text Fields to Linked Records

You can convert an existing text field like customer name into a linked record by creating a link to a new table called customers. Once you save it, those customers get automatically created in that new table. Instead of seeing plain text, you now have actual customer objects that are connected to your jobs, and these customers exist as separate records in the customers table that were automatically created and mapped from your original data.

Moving Data to Where It Actually Belongs

When you're building a new table, anything that belongs on that new list needs to be moved into that table instead. If you have a customer phone number field, it shouldn't exist in the jobs table—the phone number belongs to the customer. Create that field in the customer table, then use a lookup field in your jobs table to bring in the phone number from the linked relationship. Now when Sarah's phone number changes, you only make the change in one place and it's reflected throughout every instance in the database.

Understanding the Two-Way Nature of Links

Here's what nobody tells beginners: linked records work in both directions. You never have to go into the customers table and tell it what jobs are connected to it—you only specify which customers are connected to which jobs from one side. Airtable automatically knows both sides of this relationship because this is a proper linked record, not just text. This bidirectional connection is what makes Airtable a true relational database instead of just a fancy spreadsheet.

The Critical Question Before You Link Everything

Before you go linking everything in sight, always ask yourself this question: can this thing have one or many of the other thing? For example, a job usually has one customer paying for it, so you'd toggle off the option to allow linking to multiple records from the jobs side. But from the customers side, a customer should be able to link to multiple jobs because you want repeat business. Understanding this one-to-many versus many-to-many relationship is critical—if both sides of the link can have many, you need a third junction table, which is a separate topic entirely.
